The EverTrust Home Loans (ETH) came to visit us with a very common growth issue, their operational framework was outdated and needed to be redefined. As a leading mortgage lender, their team was exceptionally knowledgeable – but outdated, disorganized, and manual processes were holding them back. Our objective was to identify the key process inefficiencies and design a scalable and fully digitized solution on the Zoho ecosystem framework.


Our Diagnosis:

Identifying the Operational Fault Lines Our discovery and process audit revealed multiple operational gaps creating unnecessary complexity:

Process Fragmentation: There was no visibility and no single source of truth. Files for each loan were scattered across multiple email accounts, software applications and spreadsheets, resulting in a myriad of errors and inefficient processes.

Cost Inefficiencies: The lead management systems track monitoring and engagement processes are outdated. Timely engagement of capture leads for digital and realtor partnerships are bare minimum, resulting in potential business value being surrendered to faster competition.

  • Reactive Service Model: The lack of an automated communication system meant borrowers were frequently left in the dark about their loan status. This forced ETH’s staff into a constant, time-consuming cycle of providing manual updates, detracting from their core revenue-generating activities.

Our Strategic Blueprint:

Engineering a Unified Mortgage Ecosystem on Zoho

Our solution methodology is to build technology around the ideal business process, not the other way around. We designed a four-pillared strategic blueprint to transform ETH’s operations into a streamlined, automated, and scalable engine for growth.

Creating a singular snapshot of the loan’s lifecycle was the primary objective of our solution.

System Design: The Centralized Loan Pipeline

    Through the implementation of a smart lead-to-loan system, we mitigated revenue leakage.

    As a result of Zoho CRM’s webform and API integrations, we captured loans from all channels (website, Facebook Ads, partner portals) and seamlessly integrated them into the pipeline.

    Advanced assignment rules were created to instantly route already captured leads to loan officers by region and their schedules. Automated task and notification response for immediate follow through was also initiated

    Embedding compliance and document management into the workflows embedded governance to de-risk the operation.

    The entire agreement process, starting from initial disclosures and spanning to closing documents, were digitized through Zoho Sign.

    Automation was made possible by Zoho Flow.

    • Using Zoho Campaigns, we designed an automated email and SMS journey that notifies borrowers of key milestones in real-time. This simple but powerful feature rebuilt trust, increased satisfaction, and freed up countless hours for the ETH team.
